We are seeking a highly organized and proactive Executive Assistant to support our operations and help streamline our growing business.

Position Overview

The Executive Assistant will work directly with the Team Lead and provide administrative, operational, and project support. This person will serve as the right-hand to leadership—anticipating needs, managing priorities, and ensuring smooth day-to-day operations. The ideal candidate is resourceful, detail-oriented, and thrives in a dynamic environment.

Key Responsibilities

  • Manage calendars, appointments, and communications for the Team Lead and team members.
  • Coordinate meetings, deadlines, and project timelines.
  • Prepare documents, presentations, and reports as needed.
  • Assist with transaction coordination and real estate paperwork.
  • Maintain organized systems for digital files, databases, and CRM management.
  • Handle email correspondence and client communications with professionalism.
  • Support marketing efforts including social media scheduling, listing materials, and client events.
  • Anticipate team needs and proactively solve problems before they arise.
  • Serve as the first point of contact for internal and external inquiries.

Qualifications

  • 2+ years of administrative or executive support experience (real estate experience a plus but not required).
  • Strong organizational and time management skills with the ability to prioritize tasks.
  • Excellent written and verbal communication skills.
  • Proficiency with Google Workspace, Microsoft Office, and CRM systems (experience with real estate platforms a plus).
  • Ability to work independently and maintain confidentiality.
  • High attention to detail and accuracy.
  • Positive, professional, and solutions-oriented mindset.
